QUESTIONS & ANSWERS:

Is the RFP just for the dispatch software?  I don't see any mention of GPS or cameras in there. - You may INCLUDE GPS & CAMERAS. 

What is the deadline to submit questions?  The RFP references that responses will be posted on July 16.  Do we have up until the 16th to submit questions or do we need to submit them sooner? - QUESTIONS will be answered and posted as I receive them. May be submitted until the the 16th. 

Can the RFP submittal be emailed to you or do we need to mail a hard copy? Please mail hard copy - SECTION 3.5 Closing Date - "Must be received no later than 5:00 p.m. C.D.T., August 6, 2021 and addressed to: Southern Iowa Trolley, Attn: Leesa Lester, 215 E. Montgomery St., Creston, IA 50801"

Considering business closures and shipping delays caused by the COVID-19 pandemic, will Iowa Trolley accept proposal submissions via email?

                Prefer hard copy in mail but if others request same, may accept email.  I just don’t want someone sending a proposal via email, and I do not see it if it goes to spam.

 

  1. Is there any sort of budget SIT is looking to stay within on this project? 

For FY22, $7500 is budgeted for this software.  I do have an contract from Iowa DOT for the purchase of any hardware or accessories the system may be require. 

  1. I noticed within the RFP it was listed that SIT has 33 employees. Our application is license based by user so I wanted to make sure our proposal included the proper number of users. What would be the highest number of in-office users in the DR application at any given time? (Ex. There may be 20+ in-office staff who utilize the app, but only 6 would be in the transit application at one time. In this example you would only need to be licensed for 6 users.)

We have 1 dispatch office located in Creston, where 3-4 people would access that during office hours but only one at a time.  I would want access to all of it as well.  We have 28 part-time & full-time drivers.  Not knowing your system, I would think each driver would need his/her own login.  They all do not work everyday though, especially the part-time that do a lot of our medical trips.  

  1. Within the functional spec there was a line item regarding flexible payment options. Would you be able to provide any more detail as to what SIT is looking for here? 

Flexible payment options just means would like to have a monthly payment for budget purposes once equipment is installed and up and running. I will work with the company selected those details.
